Outlook Add-ons

Action Project Manager replaces the Microsoft Outlook Tasks pane with a more efficient and feature loaded task manager that allows you to create multiple tasks categories for different projects and manage them from within Outlook. You can assign priority levels, due dates, add contacts, notes and documents to a task, and conveniently review them at all times from a newly added pane below your Inbox. The program also adds a new button to the Outlook toolbar that allows you to quickly create a new tasks from any email message. Other features include sharing of task lists with other users, export of task lists, task filtering, and more.

NoMoreDupes for Outlook is an add-on for Outlook that enables you to easily find (and optionally remove) duplicate emails, contact and other Outlook items across multiple folders. A detailed result list allows you to inspect the result, open items, and delete the duplicates that are obsolete. You can customize the search behavior and choose to match duplicates by subject, sender, date, size and other criteria.

GeniusConnect makes it possible to synchronize Outlook data with any relational database that supports ODBC (MS Access, MySQL, SQL Server etc.). MS Outlook stores data (Calendar,Tasks,Mail,Journal,Notes) on the local computer in a .pst file, which makes it difficult to exchange this data with other systems or applications. With GeniusConnect, you can export your Outlook contact data to a database and also load data from the database into an Outlook contact folder. It is also possible to use GeniusConnect on multiple Outlook Folders and multiple databases and users can optionally protect private contact data by using a different Folder or by telling GeniusConnect to ignore items that are marked as private. GeniusConnect consists out of several COM objects, adds a new toolbar and becomes an integral part of Outlook after installation. Other features include Swiftpage integration, various types of synchronization with the database as well as auto-synchronization when Outlook starts and more.

SynchPst for Outlook allows you to synchronizes data in two Personal Folders (.pst) files quickly and easily. You can choose a single or multiple folders/subfolders to synchronize. If the selected folder does not exist in the target .pst file, the entire folder is copied, otherwise, the source and target files are compared and the entries are synchronized based on creation time and/or subject. If they are different, the item is imported, if they match, the item is skipped.

DirectXchange for Outlook is an add-on for MS Outlook that assists you in sending large files as attachments. The program first compresses your attachment(s) into a zip file, and if they exceed a user defined size (default is 10mb), it will automatically split the zip file into multiple chunks (e.g. 10 mb each) and send the attachments split over messages that can then be re-assembled by the recipient. In order to re-assemble the attachments, the recipient must either have DirectXchange installed (free to extract files) or a compatible Zip utility like WinZip. While this may not sound like a very elegant solution, it does allow you to bypass mail server restriction that limit attachment size per message.

EZDetach is an add-on for Microsoft Outlook, that enables you to extract attachments from messages and save them in specified folders, based on various criteria. You can choose to remove the original attachments, and just leave a link to the extracted file, thereby reducing the size of your PST files, or leave the attachment in place and extract a copy of it. Furthermore, you can define filters based on the file name, and only process specific files or types. Other features include an option to automatically remove orphaned attachments, reattach files when forwarding a message, zip compression and automatic extraction via Outlook rules.

SimplyFile for Microsoft Outlook enables you to quickly file email messages into designated folders without the need to set up any rules. After a short training period, the program will try to guess the folder that you want to file the current message in and make it available for one-click filing from the Outlook toolbar. SimplyFile does not file any messages automatically, it only suggests the folder and allows you to move the message with a single click, providing an alternative to drag&drop filing. The program also adds two convenient buttons to the toolbar that allow you to create a task or schedule entry from any messages with a single click.

DeskLook is a system tray program that uses your desktop wallpaper to display data it reads directly from your Outlook calendar. It displays up to three months of calendar along with appointments, tasks and messages available on your desktop without having to launch Outlook. You can choose from 3 different styles.

OLFolders (formerly OutlookFolders) enables you to provide common access to all data in Outlook across a network, without the need for a MS Exchange server. You can create multiple users (up to 75) and set access privileges for each, on a per folder level. You can limit a user to specified folder and read-only access, while allowing another one full or restricted access to all or selected folders. OLFolders runs as a server/client application, where the server is installed on the machine that runs the shared Outlook, and others connect to it via a client application that integrates into Outlook. Data stored on the server Outlook appear as public folders on each client.

E-mail Follow-Up for Microsoft Outlook adds an extra button to the Send Message dialog, which allows you to send the message with an additional follow-up reminder, The program monitors your Inbox and will remind you after a user defined period (e.g a day), if you have not received a response to the message. You can then choose to send a follow-up message, which can optionally be prepared via template using dynamic variables to automatically include the date, subject etc. of the original message.

Easy Mail Merge for Outlook enables you to send personalized mass mailings directly from Microsoft Outlook. It can import recipients and mail merge fields from various sources, including Outlook Contacts, Outlook distribution lists and comma delimited files. The program integrates into the Outlook interface, and you can create your mailing in the same way that you send a regular mail. The newly added toolbar options allow you to insert mail merge fields and also create complex scenarios that can insert specific text based on IF conditions.

DetachPipe enables you to remove and detach email attachments from Microsoft Outlook, leaving a clickable hyperlink to the locally saved files, thereby leaving the file still accessible, while reducing the size of your PST file. The attachments can be saved with the original or a new name, and save in a folder structure based on several email variables (sender, subject etc.). You can choose to process folders manually or on a regular schedule, or have the attachments detached automatically whenever email arrives in your Inbox. Other features include attachment compression and sharing of large attachment via an integrated online service.

Template Phrases for Microsoft Outlook enables you to quickly insert frequently used text phrases into your messages without having to do any typing. The program integrates with the Outlook message dialog and displays a sidebar that contains your collection of phrases - a double-click on any item will insert into the message. In addition to simple text phrases, you can also include macro commands to display the current date or time, insert recipients into the CC or BCC fields, fill the subject line and automatically attach files to the message. You can combine multiple macros in the same template and generate complex messages or responses with a click of your mouse. Works with Microsoft Outlook 2007 - 2000.

Auto BCC / CC for Microsoft Outlook is an add-in for Outlook that enables you to automatically create BCC/CC messages for outgoing email. You can create custom rules that allow you to send BCC/CC messages only if the they are sent from a specific account or if the subject, recipient or attachment name match your criteria. There is also an option to define criteria for rule exceptions as well as a detailed log that lets you review and verify that your rules where executed properly. Supports Outlook 2007, 2003, 2002 (XP), 2000.

Spam Bully is an anti-spam tool for MS Outlook, that learns from spam messages and continually adjusts itself to protect your mailbox. It uses proactive rather than reactive methods for eliminating spam, and will actually keep 99% of spam out of your inbox in most cases. We tested it on our spam mailbox and it filtered 199 out of 200 spam messages that were downloaded. This is very impressive, considering that it does not require any kind of user configurations. If needed however, you can customize the filtering by maintaining an automatically generated Friends list and also add any senders to a block list with a single click. Spam Bully tightly integrates with Outlook and moves all spam messages into a new folder (Spam) from where they can be permanently deleted. This enables you to keep an eye on what is being filtered and to make sure that no good messages got caught by the filter. The program can also bounce messages from known spammers, query emails sent from unknown senders (require confirmation), block selected attachments types and more. In addition, it produces a nice graph view that you can use to view your daily, weekly or yearly spam statistics. An excellent choice for Outlook users, and from what we have tested so far, it is definitely the most sophisticated one. A must-try for any Outlook user!

Add-in Send Personally is an add-on for MS Outlook, that enables you to send messages to multiple people without revealing the other recipients. Each recipient will see only his/her name and address in the "To" field, as if the message was sent only to him/her. The program also works with contact groups, sending each group member an individual message. Send Personally adds a new button to the New Message dialog and to send the message personally, simply click on it instead of the standard Send button. A simple, but very useful tool, that allows you to make much better use of various Outlook features, since you don t have to be concerned that your email list will be revealed. Send Personally also supports mail merge with information from the address book, allowing you to customize each message with the recipients name, email and more.

Duplicates Remover for Outlook enables you to easily find and delete duplicated contacts, notes, tasks, journal and calendar items (but not emails) in MS Outlook folders and MS Exchange Server public folders. If duplicates are found, they can be deleted or alternatively marked, copied or moved to any other folder.

Blueprint for Outlook Professional adds additional printing features to Microsoft Outlook that help you overcome the rather limited print capabilities that are provided by Microsoft. It offers a print preview and multiple attachment printing as well as printing of selected text - without having to print the entire email message. Choose to print the whole message, latest response, or just the first page, print contact information with the associated photo, and more. You can control the print layout by using different print templates that can also be customized with logos, headers, footers and watermarks.

ClearContext IMS is an add-in for Microsoft Outlook that enables you to automatically prioritize, organize, and color-code the messages in your inbox. It uses many of the natively supported Outlook features (rules, views, folders etc.) and combines them into an easy-to-use email management system that requires very little training, and transparently integrates with Outlook, without the need for additional interfaces or applications. ClearContext IMS enables you to automatically display the most important e-mails from important senders at the top of the inbox, and less important messages further down the list. You can also set priorities for each message (criteria or Contact), which will automatically color code the message and move it further up the list. In addition, you can create topics, which are essentially mail folders where mail can be filed with the click of a button. New messages are automatically scanned for custom defined keywords or properties and assigned to the user specified topic. We found ClearContext IMS very intuitive and fairly easy to use. The use of native Outlook features ensures the integrity of your Outlook data files and tight integration makes the software easy to use.

Live Signatures enables you to define macro commands in your outgoing email messages, that will be replaced with a designated text when the message is sent. The program supports signatures from stored messages or text files that can be used for disclaimers, price lists or any other type of information that you may want to include in a message but not want it to be part of your standard Outlook signature text. The Live Signature macros can be inserted as needed and also offer dynamic variables for date and time, random quotes, or the name of the song that is currently playing in WinAmp. Since the program integrates with Outlook, you can also use the macro commands within your regular Outlook signatures. We found it inconvenient that the macro commands have to be remembered and typed in order to use them, rather than having them available from a drop down menu.

Aladdins - Envelopes & Labels is an Outlook add-in, that enables you to print envelopes and labels for selected contacts with just 3 mouse clicks. You can print any data from your selected contacts, notes, or any custom information you enter. Multiple templates can be stored, which can include text, images, frames, US Postal barcodes and more. It provides direct support for Avery and Zweckform labels and can be customized to work with any other label as well. Aladdin also supports printing from distribution lists and multiple contacts, custom styles, alternate printer choice and more.

ShareO enables you to share and synchronize Microsoft Outlook Personal Folders with other ShareO/Outlook. The sharing of the folders is done via email message and attachment that is sent to the user, and then automatically imported by his/her local installation of ShareO. This system is suitable for sharing email folders, even if the users are not connected to a local network. You can create shared workspaces including Inbox, Sent Items, calendars, contacts, journal, e-mail, tasks, notes, and share any other folder. You can assign shared users on a per-folder level, and easily add new users from your contacts.

MailRelayer makes your Outlook email and contacts accessible from anywhere on the Internet. You can manage your mail using almost any email client, (including those on Palms and Pocket PCs) or any web browser (via a WebMail gateway). MailRelayer enables you to keep up with your office mail from home or while you are on the road. Optionally, you can also choose to authorize other people to read your mail by creating a password protected account for them. MailRelayer is a product not a service, it runs as a local IMAP server on your PC, that uniquely interacts with your Outlook mail folders. The program can only work while your computer is connected to the Internet, preferably with an always-on Cable or DSL connections and offers support for several dynamic DNS services. The program requires some technical understanding of IP addresses, so it may not be suitable for novice users.

Advanced Outlook Repair enables you to recover your email messages and attachments from damaged or corrupt Outlook Personal Folder (.pst) files. It supports mail messages (with embedded objects), folders, posts, appointments, meeting requests, contacts, distribution lists, tasks, task requests, journals and notes in PST files, along with object properties. The repaired .PST file can optionally be split into multiple files, and converted to other Outlook formats. Other features include a search tool to find .pst files on your PC, shell integration, batch repair, command-line support and more.

Lookeen is a search add-in for Microsoft Outlook that can speed up searches dramatically, allowing you to quickly locate emails, contacts, appointments, attachments and other Outlook items, as well as local files on your PC. The program indexes the selected Outlook folders on a regular schedule, allowing for almost instant results from your keyword searches. Lookeen integrates with your Outlook toolbar and also provides quick access buttons to locate new mail items from the current day or week as well as items that are related to the currently selected email. Other features include support for multiple PST files, customizable background indexing and more.

Outlook Picture Extractor is a simple tool, that can easily extract pictures and attachments from Outlook 2000 (or higher) into a directory of your choice. You can chose to extract only pictures or all of the attachments. A report can be created, that lists the extracted items.

Public ShareFolder (formerly Public OutLook) enables you to share an Outlook-PST file with several users simultaneously without the need for running Exchange Server. You can share Contacts, Calendars, Inboxes or Tasks and have full control access and rights for each item. All built-in functions are preserved also in the Public Folder and the existing Outlook network does not have to be modified. Public ShareFolder is not a synchronization program, but a storage provider like MS Exchange Server. In addition, Public ShareFolder is compatible with many Exchange Server add-ons.

Duplicate Killer for Microsoft Outlook enables you to find and process duplicate emails, tasks and calendar items in Outlook. You can define the properties to compare (e.g subject, sender, size etc.) and set criteria as to which items should be considered duplicates. The found items can then be reviewed and either moved, deleted, flagged or merged.

OutNote is a unique Outlook add-in that enables you to attach notes to your Outlook emails and contacts. It fully integrates with Outlook, and to create a note, simply right-click any email or contact in Outlook, and select the `Create Note` item from the right-click menu. Whenever you select a message that has a note associated with it, the program will inform you from the system tray, or optionally pop up the note immediately. The program supports the Outlook colored flags and can automatically assign a flag of your choice to any message that contains a note. You can also attach files to a note, and manage them from a notes manager interface. A great productivity booster for heavy email users.

ClickYes Pro allows to configure which applications can automatically send emails using Microsoft Outlook or access email addresses stored in your Outlook address book. The program runs in the system tray and enables approved applications to access Outlook without any delay or security prompts. ClickYes Pro works with Microsoft Outlook 2000-2007.

ReplyWith is an add-on for MS Outlook that allows you to reply to messages using a collection of canned messages, so you don't have to type the same replies over and over gain. It integrates into the message window, and instead of the standard Reply button, you can use the Reply With button to respond with one of your custom templates.

vCard4Outlook is an add-on for Microsoft Outlook, that enables you to export all or just selected contacts into vCard format to a folder of your choice. Even though Outlook already supports this, it only allows to export one contact at a time. vCard4Outlook overcomes this limitation and enables you to export all your contacts to either individual vCard files or merge them into a single one. It supports vCard 2.1 as well as vCard 3.0 formats. The trial version is limited to export of 5 contacts.

Spam Reader is an anti-spam add-on for Microsoft Outlook, that automatically scans your incoming messages and filters spam into a designated Spam folder, from where you can review and delete it. The filtering results were very good, and the program caught most common spam without any further adjustment. Spam Reader uses a Bayesian engine, so the filtering will automatically adapt and learn from messages that you designate as spam or good mail. To make sure that important mail is not accidentally filtered, you can also specify a list of senders that are excluded from filtering, exclude mail that matches Outlook rules, and define keywords and phrases that will always cause the message to be recognized as good mail. Spam Reader is easy-to-use, does not require any maintenance and provides excellent filtering right after installation.

Auto Reply Manager for Outlook provides an easy way to create auto-responders in Outlook. You can create simple rules to respond to certain messages, based on sender, folder or email account, as well as keywords in the subject or body of the message. Furthermore, you can create vacation responders that are triggered during a specific time period, and create personalized replies for multiple email accounts. The program uses the Outlook Outbox for sending and it requires that Outlook is running and in case of vacation responders, it must be configured to automatically download email while you are away. Even though you can create auto-responders with the standard Outlook rules, Auto Reply Manager offers a few advantages and a easier configuration.

MAPILab Toolbox for Outlook is a set of 18 useful add-ons for Microsoft Outlook, that are aimed at improved workflow and email efficiency. They include scheduled emails (with optional attachments), address extraction, message auto-fill, email reminders, Contacts journaling, attachment reminders, mailing list management and more.

Shutdown Addin is a is a COM add-in for Microsoft Outlook 2000/XP/2003 that enables it to shutdown completely and safely when you exit the program. Many times Outlook can continue to run, even after it is closed, which can often be caused by other add-ons, that do not properly unhook themselves from Outlook. If you experience this problem, you may want to give Shutdown Addin a try. As an additional feature, it also allows you to launch an application whenever Outlook is shut down.

SendLater is an email scheduler for Outlook that lets you handle your e-mail correspondence in a timely manner. You can prepare all your email notifications and reminders, greetings in advance and schedule one-time or recurring delivery. They will be initially added to a newly created SendLater folder and moved into the Outbox from where they will be sent automatically at the specified time. You do not need to initiate a Send/Receive in order to send the scheduled messages, however you must of course have Outlook running and be connected to the internet at that time.

Genie Mail Backup is designed to easily create a backup or archive file of your mail folders from Outlook 2000-2007, Outlook Express, Windows Mail and restore them if necessary. The backups can be stored locally, on network drives, removable media or FTP locations.

Print Tools for Microsoft Outlook is an add-in for printing of incoming and outgoing messages and/or attachments. Unlike the built-in Outlook print features, it can print the messages automatically without even opening them (triggered by a rule), including documents from ZIP and RAR archives.

Auto-Mate is an add-in for Outlook that allows you use define rules to move mail from your Inbox (or other folders) based on several criteria, including the age of the message. While Outlook already provides a very powerful set of rules, they can only be applied immediately when the message arrives, and not a couple days or weeks later. Auto-Mate fills this gap an enables you to apply rules to messages that have been in your Inbox for a given number of days or hours. In addition, the program offers a default set of rules and folders that works in conjunction with Outlook features to organize your mail into folders based on date and To-Do status.

WinZip E-Mail Companion allows you to easily compress and optionally encrypt email attachments to outgoing email messages, when using Microsoft Outlook, Outlook Express or Windows Mail. The program integrates into the toolbar of new messages, as well as the Outlook file menu. You can choose to attach and zip files manually, or automated the process whenever you attach a file (with an option to exclude by file extension). If you have sensitive files, they can be encrypted using the built-in AES (128bit/256bit) encryption or standard zip compatible encryption.

Actual Contacts for Microsoft Outlook enables you to update your contacts by sending them a form request, that allows them to verify and update their personal information. The returned forms are automatically processed and your address book is updated with the submitted information.

Duplicate Email Remover is a MS Outlook add-in that lets you search for duplicated mail messages in selected Outlook folders. If any duplicate messages are found, they can be be marked, flagged, deleted, copied or moved to any folder within Outlook. In addition, you can apply time filters, so that only messages within a selected period are processed, as well as priority rules allowing you to configure which duplicate to keep. Duplicate Email Remover integrates into Outlook and fully compatible with Microsoft Exchange Server and may be used to process public folders on a server.

Attachments Processor allows you to reduce the size of your Outlook PST files by extracting and organizing attachments from your messages or mailboxes on the Microsoft Exchange server. The extracted messages can be automatically organized based on customizable rules that allow you to sort and name them based on the sender, subject or other criteria. You have the option to extract the attachments as a backup and leave the original files in the PST file, or to remove them from the PST and leave a shortcut, pointing to the extracted file. This option allows you to reduce the size of your mail storage, without loosing reference to the attached documents. Additional features include options to manage blocked attachment extensions, extension filtering, automatic processing and more.

Notes2 for Outlook is an add-on for MS Outlook that enables you to add personal notes to any mail item. You can add a note by simply clicking a toolbar button, or from the right-click menu of the message, and view any available notes in the same manner. The note can contain attachments and also be associated with a reminder. To indicate that a message contains a note, you can choose assign one of Outlook colored flags, or you can filter the view and display all messages that contain a note. When you reply to a message that contains a note, you can choose to include the content of the note in your reply.

Contacts Clinic is a handy add-in for Microsoft Outlook, that allows you to manage and verify your Contact information. It works without any 3rd party services and enables you to generate, send and process contact update forms, that are sent to all or selected recipients from your address book, and allows them to update the information by simply replying to the message. Once the reply is received, Contacts Clinic can process the information and automatically update your address book with the information. In addition, the program can automatically remove contacts where the emails are returned as undeliverable, find duplicate entires, import email addresses from text files, backup your contact information and more.

Quick Templates for Microsoft Outlook enables you to quickly insert frequently used text templates into new email messages. You can create multiple templates and easily insert them from a drop-down menu which is added to all New Message dialogs in Outlook.

Chilibase for Outlook enables you to view relevant contacts for a selected email message in a newly added Outlook panel. You can then select one of the relevant contacts and choose to quickly view all message from or to that person. The program indexes selected email folders in the background, allowing for quick display of relevant persons and almost instant search results for messages.
